Case Study 2: The Protocol — How Three Strangers Made a Record Without Wasting a Week
Jaylen, Demi, and Theo are this book's running characters — fictional, as always — and this case study is the working template their collaboration settled into after the famous 4 GB false start. It's presented artifact by artifact: the folder structure, the README, the note documents, the version log. Nothing here is decoration. Steal all of it.
The Cast, the Roles, the Deal
Three people, three rooms, six hundred miles: Jaylen in Columbus (FL Studio, producing and eventually mixing), Demi and Theo in Asheville (Reaper, a treated spare bedroom, one good condenser). They met in the Loopline collab community; the chapter told that story. What it didn't show is the machinery that ran after the first call — the system that moved one guitar, six vocal takes, two feedback rounds, and zero resentments across state lines.
The deal, as struck on the call, fits on an index card — which is the point:

Notice what's absent: no contract language, no mistrust, no twenty questions. Just every ambiguity that kills collaborations, answered while everyone still liked each other — which is the only time answering is cheap.
The Shared Folder: One Source of Truth
The whole exchange lived in one cloud folder both parties could reach. Not email threads, not message-app attachments (which transcode audio into mulch), not "which link was that in?" One address for everything, structured so a stranger could navigate it — and within a month, three strangers were.

The exchange folder: deliverables by direction, notes by round, and an APPROVED folder with a one-file admission policy. If it isn't in 04, it isn't final — and nothing in 04 ever changes without a new version number.
Package One, Eastbound: The Instrumental
The rescue package (v1.0) you saw in the chapter: two audio files and a README, 61 MB. After the first call, v1.1 followed with the longer outro Demi asked about. The README rode along both times — Jaylen's, verbatim:

Total questions Demi had to ask before working: zero. Total time from download to singing along with a pencil: eleven minutes. She tracked her writing demos against 01, checked intent against 02, and never once messaged "wait, what tempo?"
The Side Quest: One Guitar, Properly Shipped
Round one's first note (below) killed the store-bought strum loop, and Theo's offer rode in on the reply thread: "The loop is a costume. Give me a weekend — twelfth fret, nine inches, mic placement is my love language." The capture itself is Chapter 12's, exactly as taught there: LDC at the twelfth fret, nine inches, slight tilt to the body, mono — one take carrying the song, a second take for the choruses so Jaylen could pan real doubles instead of faking width.
What Chapter 12 didn't show was the handoff, and it's two files and four lines:

The chorus-double file is mostly silence, and that's the rule working as intended: the silence is the alignment. Jaylen dragged both files to zero and the doubles bloomed in exactly the right bars, first try, no nudging, no phone call. "That's correct, not a glitch" is what a README sounds like when the sender has imagined the receiver's face.
Session Day, and the Westbound Harvest
The vocal session itself is Chapter 11's scripted day — Demi in the duvet corner, Theo engineering, Jaylen attending by video call with one-note-per-take talkback discipline; five full takes, and the loose, reckless gravy take six that ended up winning half the comp. This case study picks up where that day ended: with the harvest leaving Asheville.

Two text files turn this from a pile into a package. Theo's take log — "t3: best verse 1, rushed pre. t4: the spine, solid everywhere. t6: reckless, magic in pre 2 and the last chorus, pitch loose in v1" — gives the remote comper the room's memory, which a remote comper otherwise simply doesn't have. Demi's favorites file marks her instincts the night of, before anyone's analysis can overwrite them. Jaylen comped with both documents open, exactly the way Chapter 15 taught — triage, phrase-level assembly, runs over checkerboard — and Theo's log meant he triaged six takes in twenty minutes despite having attended the session only as a face in a phone.
Round One: The Consolidated Notes
Demi and Theo listened to instrumental v1.1 separately, compared notes at the kitchen table, deduplicated, and sent one document. Reproduced in full, because the format is the lesson:

And Jaylen's reply — the dispositions, answered note by note, which is what closes a round:

Six notes, six answers, one round, closed. Nobody wondered what happened to their feedback. Nobody's veto arrived as silence. And the one disagreement — the bridge — ended with a reason on the record and a promise to verify, instead of a simmer.
Round Two: The Comp Approval
Jaylen's comp went up as sb_LV-comp_v1.0.wav with a photo of his comp sheet. Demi's whole second round was three lines — fast, like she promised on the call:

Why It Worked
Strip the personalities away and the system has four load-bearing properties.
Every artifact answered a question before it was asked. The README pre-answered tempo, key, format, intent. The from-zero rule pre-answered alignment. The take log pre-answered "which take was the good one?" Six hundred miles of distance generates questions at a rate that kills momentum — unless the package itself is the FAQ.
Every reaction had one shape and one address. Notes were timestamped, batched, against a named version, into a known folder. Nothing arrived as a 1 a.m. text. Nothing got lost in a thread. The drip-feed never started, so nobody had to survive it.
Every decision had an owner, assigned in advance. Jaylen could veto the heartbeat kick without drama because the call had made him the production's decider; Demi could demand a breath back without apology because the call had given her the voice's veto. Protocol didn't prevent disagreement — it gave each disagreement a referee who'd been agreed on before the play.
The system made the humans braver, not stiffer. This is the part people get backwards. Demi's "I will fight you" jokes, take six's recklessness, Theo's love-language line — the warmth runs through the structure, not despite it. When nobody's worried about lost files, moving targets, or unanswered notes, all the anxiety that usually masquerades as "creative differences" evaporates, and what's left is the music and the people. Trust is the real deliverable. The folder structure is just where it's stored.
Steal This: The Template
- One call before any files: roles, deliverables both ways, feedback shape, timeline, approvals — and schedule the money conversation for before release (the page itself is Chapter 36's business).
- One shared folder: deliverables by direction, notes by round, an APPROVED folder with a one-file policy.
- Every package: audio for the job (from zero, same length, native rate) + rough mix + README. Every filename: BPM, key, version.
- Capture deliveries include the human memory: take log + performer's favorites, written the same night.
- One consolidated round per direction per version. Every note timestamped. Every note answered: accept, defer with a reason, or veto with a reason.
- Performers hold approval over their own performance. Producers hold the production baton. Everyone knows which is which before anyone's feelings are in the room.
- Versions are facts (
v1.1), never prophecies (final). The approved file is sacred and immutable; changes mean a new number.
What This Sets Up
The session marked v3.0_vocal-in — thirty-four tracks, six buses, a real voice where the hummed scratch lived — is the exact object that lands on the mix desk when Chapter 20 opens Part V. Demi's approved comp is the raw material for the full vocal-chain build in Chapter 29. The index card's last line — the percentages page, before release — comes due at a kitchen table in Chapter 36, where three people who are no longer strangers decide who owns what. And the whole apparatus, folder trees and breath defenses and all, rides to release day in Chapter 39.
None of that future works if the inbox had won in November. Protocols don't make records. They keep the humans intact long enough for the humans to make one.
