About This Book

The events industry moves tens of billions of dollars a year in the United States, and almost none of the knowledge that makes it work is written down. It lives in the heads of lead planners who learned it by assisting, and it gets passed along in fragments — a checklist here, a horror story there, a rule of thumb nobody can explain the reason for. Making Moments is a free, 41-chapter textbook on wedding and event planning: the trade most people still learn by carrying somebody else's binder for three years.

Part I covers the industry and the client — what planners actually do, the consultation, discovering what a couple wants as opposed to what they first say they want, and managing families and expectations. Part II is money and law: building and tracking a real budget, reading and redlining vendor contracts, insurance and liability, permits, and the legal structure of the event itself. Part III handles venues, space, and vendors — site selection and site visits, floor plans and guest flow, sourcing and booking vendors, and the working relationships that decide whether a day runs. Part IV covers food, drink, and design: catering and menus, bar programs and alcohol service, floral and decor, lighting, rentals, and building a coherent design concept from a vague brief.

Part V addresses ceremony and arc — ceremony structures across traditions, the shape of a reception, music and entertainment, photography and video, and the emotional sequencing that makes a day feel like something rather than like a schedule. Part VI is execution: the master timeline, the minute-by-minute run sheet, rain plans and contingencies, day-of execution, crisis management, guest experience and accessibility, and the strike. Part VII extends past weddings into corporate events and conferences, galas and fundraisers, destination events, large-scale multi-day production, and sustainability. Part VIII covers the business — starting a planning company, pricing your services, marketing and landing first clients, and the systems that keep it running. Part IX is a capstone that plans one complete wedding end to end and closes with the shape of a career in the industry.

Students build a full production book: consultation notes, a vision document, a tracked budget, redlined contracts, an insurance file, a floor plan, a design concept, a menu and bar plan, a lighting plot, a ceremony structure, a 200-line master timeline, a run sheet, a rain plan, and a post-event report. Appendices include templates and worksheets, quick-reference cards, a resource directory, a contract clause library, an FAQ and troubleshooting guide, a complete production book, a bibliography, and a glossary. Every couple, vendor, venue, and event in the book is a composite created for teaching.
