Chapter 13: Rentals and Production — Tents, Tables, Linens, Power, and the Load-In

Chapter Overview
A 60-inch round table weighs about 78 pounds, folds to roughly 30 inches, and will not go through a 32-inch doorway assembled.
You need seventeen of them. They arrive on a truck that cannot get closer than 180 feet from the barn, in a delivery window of "Friday, 8 a.m. to noon," carried by two people who are also delivering to another event that afternoon. Every one has to be through that doorway, opened, positioned, levelled on an uneven floor, and skirted before a single linen goes on — and the linens are on the same truck, in the same window, and there are 34 of them because you need one per dining table plus the cocktail tables plus the buffet plus the cake plus the gift table plus two bars, and eleven of them are the wrong size because somebody ordered 120-inch rounds for 72-inch tables.
This chapter is that paragraph, taken apart and put in order.
It is the least glamorous chapter in the book and it is the one where a wedding is physically built. Everything Chapters 10 and 11 established becomes a purchase order and a schedule here, and if either is wrong the day starts badly at eight in the morning and never recovers.
In this chapter, you will learn to:

⚠️ Common Pitfall: the six counts everyone gets wrong

Verify
- Because guests set glasses down and take a new one, and a bar cannot wash mid-service. Across cocktail hour, dinner, toasts, and dancing each guest goes through two and a half to three. One per guest produces a shortage by mid-evening whose only on-the-night fix is disposable.
- 29 — 15 dining + 8 cocktail + 2 buffet + 1 cake + 1 gift + 2 bar. The trap is that they are in at least four different sizes. Counting "15, one per dining table" misses fourteen linens; ordering 29 of one size misses the point.
A worked order
The method is abstract until you see the arithmetic. Here is a complete order for 100 guests at a raw site, with a caterer who supplies china, glass, flatware, and napkins.

Sundown supplies china, glass, and flatware for the meal. They do not supply the bar's glassware across cocktail hour and the evening. At 2.75 glasses per guest across the event, 100 guests need ~275 — of which the caterer's dinner service covers perhaps 95. The 180 additional glasses are the gap, and a planner who reads "glassware included" and orders none produces a bar on plastic by nine.
And note the shape of the total. Tent, flooring, and restrooms are $12,260 of $19,610 — 63%. The furniture and linens everyone thinks of as "the rental order" are $3,032. The raw site's cost is infrastructure, not furniture, which is Chapter 10's threshold concept arriving as an invoice.
The things nobody orders
Six items that appear on no template and are needed at every raw-site event.

The first and the fifth are the ones that produce complaints. A field wedding with no bins accumulates rubbish visibly from about 8 p.m.; a field wedding with no path lighting produces a guest walking into a ditch, which is Chapter 9's chain of liability.
13.2 Tents
A tent is not a roof. It is four subsystems, and a quote for a tent alone is a quote for one of them.

Sizing
Use the working-capacity method from Chapter 11, not a supplier's guest-count chart — those charts assume no dance floor, no band, no bar, and no buffet.

Identical square footage, and a 30-foot span forces a long thin room in which the dance floor cannot be central (Chapter 11 §11.3) and service must run the length.
Square footage is necessary and not sufficient. The proportion matters as much as the area.
The four subsystems
1. Flooring. A tent on grass or gravel is not a dining room. Chairs sink, tables do not sit level, heels are unusable.

Roughly $2–$4 per square foot installed, which on a 40 × 60 is $4,800–$9,600 — frequently more than the tent.
2. Sidewalls. Solid, windowed, or clear. Order them as standby where possible — delivered and not installed unless needed, at a fraction of the installed price. Installing on the day is 60–90 minutes with a crew.
3. Lighting. A tent at 8 p.m. is dark. String lights, chandeliers, par cans, or a combination — all of which need power (§13.3) and a rigging point, which on a frame tent is the frame and on a pole tent is a problem.
4. Heating or cooling. Propane heaters for cool evenings; fans or spot cooling for hot ones. Both are step costs and both are usually standby. A propane heater draws no electrical load; a fan does.
⚠️ Common Pitfall: anchoring
Staking — driven into ground. Cheaper, faster, and requires a utility locate before anyone drives a 30-inch stake into a lawn. Striking a buried line is a genuine hazard and an expensive mistake.
Ballast — concrete or water weights. Used where staking is impossible: asphalt, decks, over utilities, or where an owner refuses stakes. Heavier, more expensive, and it takes floor space — ballast sits at the perimeter and is visible unless screened.
Ask two questions at the site visit: "Can we stake here, and has a utility locate been done?" If the tent company does not ask you, ask them.
Weather, and the decision the tent forces
A tent changes what weather means, and not only in the obvious direction.

Two operational consequences worth building into a plan:
The wind clause is real and it has a decision-maker. Ask, at contract stage: at what wind speed do you refuse to erect, and at what speed do you strike? Then find out who makes that call and by when — because a tent company deciding at 6 a.m. on Saturday that they will not erect is a different emergency from one deciding on Thursday.
Ground saturation is a load-in risk, not a weather risk. Three days of rain before a dry Saturday still means a field a truck cannot cross. Check the forecast for the load-in window, not only for the event, and ask the tent and rental companies what they need underfoot. This is the single most-missed weather consideration at raw sites, and Chapter 28 builds the decision protocol around it.
13.3 Power
The subject planners avoid and should not.
You are not designing a distribution system. You are checking whether the number you have been given is plausible, and that takes about twenty minutes.

The caterer's equipment choice is a generator-sizing decision. Scenario A needs 15 kW; Scenario B needs 10. That is roughly $400–$700 of generator and fuel, decided by a line in an RFP.
Incandescent string lighting would be catastrophic. 400 feet of incandescent draws 2,400–4,000 W against LED's 320. A single aesthetic choice can add a generator size.
Hair and makeup are not on this list because they happen elsewhere in the morning. If they were in the barn, at 4,000–6,000 W, they would exceed the venue's entire service on their own. Check where getting-ready happens (Chapter 29).
What else a generator needs:
- Fuel for the run time plus reserve — roughly 1–1.5 gallons per hour at moderate load for a 15 kW unit
- Distribution — a distro box and cable, frequently a separate line item
- Cable ramps wherever cable crosses a path. A trip hazard is Chapter 9's liability chain
- Placement — event-grade units run 60–70 dB at 20 feet. Downwind, behind something, and check that "behind something" is not a neighbour's garden
- A technician, or at minimum a number, for the event's duration
🔄 Check Your Understanding
- A venue has three 20-amp circuits. What is the usable wattage, and why is it not 7,200?
- Why does a caterer's equipment list belong in the RFP rather than in a week-two conversation?
Verify
- Nominal is 3 × 20 × 120 = 7,200 W, but circuits should be loaded to no more than 80%, giving 5,760 W usable. Loading to capacity trips the circuit, and it trips at the worst moment — which is when everything is running at once.
- Because electric warming and refrigeration can be 40%+ of an event's total load, and the difference between a propane caterer and an electric one is a generator size, several hundred dollars, and a fuel order. Discovered in week two, it is a change order; asked in the RFP, it is free information that also tells you how carefully the vendor read the site constraints.
13.4 The Load-In
The chapter's central technique. A load-in is a dependency graph with a deadline, and most planners write it as a list.

The conflict is unmissable once it is drawn and invisible when it is a list. Four vendors and a hundred guests in the same fifteen minutes.
Resolving it
Four moves, in order of what they cost.

Move 1 — start the tent earlier still. 8 a.m. → 7 a.m. Costs nothing beyond the crew's call time, which the tent company was willing to shift. Gains one hour on the critical path.
Move 2 — split the rental delivery. Flooring on truck 1, furniture on truck 2 with a later window. Truck 1 can arrive at noon; the flooring crew starts the moment the tent tops out rather than waiting for a single truck carrying everything. Gains 45 minutes and costs a second delivery — $180.
Move 3 — move the florist, caterer, bar, and DJ off 4:00 p.m. All four were scheduled at the last possible moment because that is what a list produces. Drawn as a chain, each has a genuine earliest start.
Move 4 — enforce the 45-minute margin. Nothing is scheduled after 3:15.

What it bought: 45 minutes of margin, a sound check that is not competing with arriving guests, a bar that fits through the door, and a planner who walks the room before anyone sees it.
What it would have cost unresolved: the version where the DJ sound-checks at 4:10 while guests are seated, the florist places centerpieces around people, and the planner discovers at 4:25 that nobody put out the escort cards.

Verify
- Because the bar structure cannot come through the 32-inch doorway assembled and must be built in place — which requires floor space that the tables will occupy. Once 13 rounds are placed, there is no room to assemble a bar, and moving tables to make room undoes work. It is a hard dependency created by a doorway measurement.
- It buys a DJ who can sound-check at 2:45 instead of 4:10, lighting that can be tested in daylight, and any electrical problem discovered with five hours to solve it rather than fifteen minutes. It costs fuel — roughly three additional hours at 1–1.5 gallons per hour — which is under $20. It is the cheapest risk reduction on the whole schedule.

- Nothing goes on a floor that is not down. The most common sequencing error.
- Nothing goes on a table that is not linened. A florist arriving before the linens will wait, or will place on bare tables and move everything.
- Lighting runs in parallel if it hangs from the tent frame; in series if it needs ladders where tables are going.
- The bar is built before the tables if it cannot come through the door assembled.
- Sound check happens before guests arrive and needs live power. It is frequently the last dependency and the first to be squeezed.
- Everything finishes 45 minutes before guests arrive, not at the moment they do. That margin absorbs slippage and lets the planner walk the room (Chapter 27).
The ceremony chair problem
A second set. 100 chairs, delivered and collected: roughly $300–$600 including delivery.
A flip. The same chairs moved during cocktail hour: $0 in rental, and 4–6 people for 45–90 minutes** — roughly $250–$500 of labour, and it must be somebody's. The caterer's staff are not available; they are plating.**
⚠️ Common Pitfall: the flip nobody staffed
A flip is planned, costed at zero, and assigned to nobody. At 5:20 p.m. the planner discovers that the four people who were going to do it are the four currently doing something else, and it happens with two people in ninety minutes while guests watch.
A flip is a line item with named people and a duration. It goes on the run sheet (Chapter 26), and the guests must be elsewhere and unable to see it. A cocktail hour in an adjacent space is a flip; a cocktail hour with a view of the ceremony lawn is a flip performed on stage.
13.5 Strike
Nobody plans it, and it is where the last money goes.

Four things that cost money at strike:
Late-night labour. The 11 p.m.–2 a.m. crew is the most expensive in the industry. A rental company striking the same night charges a premium; one collecting Sunday morning frequently does not.
Who bags the linens. They must be collected, bagged, and counted, and it is somebody's job. The caterer's contract may or may not include it. Ask. Unbagged linens left on a floor get damaged and charged.
Client property. Nobody's job by default: gifts, cards, cake top, guest book, personal décor, the couple's own belongings. Assign it to a named person and put it on the run sheet.
The final walkthrough, with the venue if possible, photographing the space as you leave. This is what protects the damage deposit (Chapter 8 §8.5) and it takes eleven minutes.
🎤 From the Field: the midnight problem
There is a predictable failure at the end of every event and it has a name among people who work them: everyone leaves at once, and nobody is in charge.
At 11 p.m. the music stops. The couple is being congratulated. The bar staff want to go. The DJ is packing. Guests are looking for coats and cars. And somewhere in the room are a cake knife that belongs to a grandmother, a card box with four thousand dollars in it, and a rented linen worth $22 that will be charged at $60 if it goes home in somebody's bag.
The planner is the only person whose job it is to still be thinking, and by 11 p.m. they have been working for sixteen hours.
Three practices that hold it together:
Assign client property before the event, in writing, to a named person who is not you. A family member, a member of the wedding party, or a paid assistant. Give them a physical list and a box. "Sam's brother Tom has the card box and the cake top, and he is taking them to the hotel."
Do the sweep in a fixed order and photograph it. Head table → gift table → cake table → bar → getting-ready room → ceremony space. Every time, the same order, so you cannot lose your place while tired.
Hand over to the strike lead explicitly. "I'm leaving at 12:15. Everything client-side is done. You're clear to strike, and the venue needs it empty by ten." An explicit handoff is the difference between leaving and abandoning.
13.6 The Rental Contract
Chapter 8's absence audit applies. Six terms are rental-specific.
⚖️ The Clause: what to read in a rental agreement
1. Delivery window. A four-hour window is cheaper than a one-hour window because the truck can be routed. But a four-hour window on a day with a dependency chain is a four-hour hole in your schedule. Price the tighter window against the labour it saves.
2. Setup and breakdown — included or separate? Frequently separate and frequently assumed. "Delivery" may mean the truck arrives and items are stacked at the nearest accessible point. Ask whether the price includes placing them.
3. Damage waiver. Typically 7–12% of the order. It looks like a junk fee and is priced against a real loss rate. Read what it covers — usually accidental damage, usually not loss, theft, or misuse. It is not insurance.
4. Late strike versus next-day collection. Different prices. Establish which is quoted.
5. Site conditions. "Prices assume delivery to a level, accessible surface." At a raw site with a 180-foot carry across grass, this clause is doing a great deal of work. Disclose the actual conditions at quote stage — a rental company that arrives to a surprise will add charges on the day, and they will be right to.
6. Count reconciliation. Who counts returns, when, and what happens if the count is short. Missing items are charged at replacement cost, which is several times the rental rate.
🎤 From the Field: The single most useful thing you can do with a rental company costs nothing: send them the floor plan (Chapter 11 §11.8).
Most planners send a list. A rental company that receives a to-scale plan will tell you that your 17 rounds at 5-foot spacing do not fit in a 40 × 60 tent, that your bar will not come through the door, and that the flooring you have not ordered is required — at quote stage, for free, because it saves them a difficult morning.
They are the vendor most able to catch a layout error and the one least often asked.

- Because a load-in is a dependency chain. If flooring cannot start until the truck arrives, and the truck may arrive any time between 8 and noon, the whole downstream chain must be planned from the latest possible arrival — which can push tables, linens, and florals past the point where they fit before guests. The window's saving is real and the schedule cost may be larger.
- Typically loss, theft, and damage from misuse. Practically: a waiver covers a broken glass and does not cover a crate of glasses that never came back. It is not insurance, and the client's exposure to missing items at replacement cost remains.
13.7 Practical Considerations
Build the order from all three inputs: floor plan, guest count, and the caterer's exclusions.
Count linens by table, and check the sizes.
Glassware at 2.5–3 per guest, less whatever the caterer supplies.
Do the power arithmetic yourself. Twenty minutes.
Draw the load-in as a dependency chain, not a list.
Everything finishes 45 minutes before guests arrive.
Assign the flip, the linen bagging, and the client property to named people.
Send the rental company the floor plan.
Common mistakes:
- Linens counted per guest, and sized by table count rather than table size.
- Glassware at one per guest.
- No overage on china.
- A tent sized by a supplier's guest chart — or a long thin tent that fits the area and ruins the layout.
- A tent quoted without flooring, which is frequently more expensive than the tent.
- Not asking about staking and utility locates.
- Assuming the venue's service is adequate without adding up the load.
- Incandescent string lighting on a generator budget.
- A load-in written as a list.
- A flip costed at zero and staffed by nobody.
- No strike plan, and no named owner for client property.

- A load-in is a dependency graph with a deadline. Nothing on a floor that is not down; nothing on a table that is not linened; the bar before the tables if it cannot fit through the door; sound check before guests; everything complete 45 minutes before arrival.
- A flip is a line item with named people and a duration, and the guests must be unable to see it.
- Strike is where the last money goes: late-night labour, linen bagging, client property, and the eleven-minute walkthrough that protects the damage deposit.

Tier 3 — Illustrative. The Reyes–Whitfield wedding is a composite created for this book.
1. Build the complete rental order. From your Chapter 11 floor plan, 100 expected guests, and Sundown's exclusions from Chapter 12 — they include china, glass, flatware, and napkins; they exclude table linens.
Every line. Count linens by table and by size. Glassware at 2.5–3 per guest less whatever Sundown supplies — this is exactly the double-count that produces a $900 error.
2. Size the tent. Working capacity, not a guest chart. Decide between 40 × 60 and 40 × 80 and justify it. Then price the flooring and note whether it exceeds the tent.
3. Do the power budget using Sundown's stated 3.2 kW. What generator do you need, and how much did the caterer's propane equipment save against an electric alternative?
Then: the Chapter 4 board had an image whose whole effect was string lighting. If they want incandescent rather than LED, what happens to the generator, and what do you tell them?
4. Draw the load-in as a dependency chain. Access at noon, ceremony 4:30, guests from 4:00. Find the conflicts, then solve them using the $300 early access. Everything must finish by 3:15.
