Case Study 18.2 π¬ Deep Dive: Ninety-Seven Per Cent of Nameplate
π From the Field
The ReyesβWhitfield wedding is a Tier 3 illustrative composite. Trey Bankole and Bankole Sound are constructed, as is every price. The power arithmetic is real and reproducible from Chapter 13's method and this chapter's fixture loads, and the finding it produces is the point of the case.
Act One: Auditing a Cross-Reference
Chapter 13's case study ended with a line in its Related Chapters list:
"Barn lighting, which the released money funded β Chapter 18."
That sentence is wrong and this is where it gets caught.
π° Run the Numbers: what was actually released

So the barn has whatever the music line still has, and nothing else.
β οΈ Common Pitfall: the forward reference that was written optimistically
Chapter 13 wrote that line in good faith, in the middle of a chapter about a different subject, at the moment when the revision felt like a win. It was a win β and a win against an overage is not the same as money.
This is the second budget-cross-reference error this project has produced (Chapter 16 found the first: $700 taken from a $400 line). Both were written during a re-cut and both survived two chapters.
The practice: any sentence containing "the released money" or "that frees up" gets a number attached and gets re-checked against the actual allocation before it is relied on. A saving against an overage funds nothing.
Act Two: The Money That Exists

Chapter 6 allocated $2,300, ranked 2, as "Music β DJ + ceremony sound + uplighting."

$310 for the barn. Chapter 16's surface hierarchy put it at 10,500 of visual weight with nothing against it β 105 minutes of dancing under bare rafters, the fourth-heaviest surface at the wedding.
Two hundred feet of warm festoon and twelve uplighters is what fixes it, and eleven of the twelve are money that was already allocated.
Act Three: Where the Uplighters Go
The decision that looks like an oversight and is not.
There are twelve uplighters and two spaces. The tent hosts dinner from 6:32 to 8:45; the barn hosts dancing from 8:45 to 10:30.

π Why Does This Work? The tent's ambient light is the string lighting, and it is genuinely sufficient β 400 feet at 2,700 K over thirteen tables, plus 26 amber votives, plus the food.
What the tent does not get is accent light on its sidewalls, and that is a real loss: after 7:45 the canvas walls are dark.
It is the right trade anyway, for a reason that is entirely about duration. The tent is occupied for 133 minutes with a design already in it. The barn is occupied for 105 minutes with nothing. Twelve fixtures move the barn from zero to lit; the same twelve move the tent from good to slightly better.
Marginal returns, applied to fixtures. Chapter 16's surface hierarchy tells you where attention goes; this is the other half of the question β where a dollar buys the most change β and the answer is almost always the surface that currently has nothing.
And the free half of the decision: the tent's sidewalls are dark and the string lighting is therefore doing all the work, which means it must be dense and low. Five runs at 9 ft AFF rather than three at 12. Same 400 feet, arranged differently. Chapter 17's rule: shorten, do not thin.

Note the two entries that would not be on a normal plot.
"Inline switch at the DJ position." The distro is behind the hedge with the generator, 90 feet from the tent. A switched circuit at the distro is useless if nobody is standing there at 7:20 p.m. A $12 inline switch on the string-lighting lead, at the DJ's table, is what makes the cue possible.
"4 barn floods, 5,000 K β OFF, ALL EVENING." Β§18.2. They are the barn's own lighting, they are cold, and if any one of them is on the festoon and the uplighters are wasted.
Act Five: The Power Budget, Recomputed
Chapter 13 computed 9,525 W required β a 10 kW generator, using category estimates. Here it is again against actual fixtures.

π¨ When It Goes Wrong: 237 watts is not a margin
The 25% headroom is derated capacity for startup surge and imbalance (Β§18.4). It is not slack. So the real position is: the design uses everything the generator has, and the 237 W is rounding.
Here is what breaks it:

Sundown's 3,200 W is a figure they stated in an RFP response in month six, before the menu changed from plated to family style (Chapter 14). Nobody has re-confirmed it.
A family-style service with one main and four sides holds differently from a plated three-course. It may need more holding equipment, or less. Nobody knows, because nobody has asked since June.
The two actions
1. Re-confirm Sundown's draw, in writing, against the revised menu. One email. If it has gone up by more than 200 W, the generator goes to 15 kW at roughly $200 and the problem is solved four weeks early instead of at 8 p.m.
2. The β4 week question, to every vendor: "does anything you're bringing plug in?"
Sent to: Sundown Β· Ridgeline Bar Β· Bankole Sound Β· the rental company Β· the photographer Β· the videographer Β· and the couple, because the couple book things and tell nobody.
π€ From the Field
That question finds something at roughly half of events. The most common answers, in order: a photographer's video light, a phone-charging point somebody's mother arranged, a fan, a coffee urn, and β twice in my career β a photo booth the couple had booked in month eleven and mentioned to no one, arriving with a 1,100-watt draw and a laminated sign.
It is one sentence in one email and it has saved two of my events.
Act Six: The Ceremony, in a Meadow, With No Power
4:30 p.m., meadow, 100 guests, sun at ~32Β° west-southwest, aisle rotated (Chapter 10). The distro is 220 feet away at the barn.
Lighting: none required. It is daylight and the design is a meadow.
Sound: everything.

At the rehearsal (Ch.24, Friday 5:30 p.m.):
- Alicia and Sam in position, facing each other, 18 inches apart
- One line of their vows, at the volume they intend to use
- Planner walks to the back row
- If inaudible: the geometry is wrong and it is Friday, not Saturday
No equipment required. It is not testing the PA; it is testing distance, direction, and how quietly two people will actually speak. The PA can only fix what the geometry leaves.
And there is a specific reason to run it here: the meadow has a westerly aspect and September afternoons at Wildrye carry a breeze off the ridge. Wind is the failure the rehearsal is most likely to reveal, and the fix β windscreens and lavs rather than a stand mic β is $12 and a decision.
Act Seven: The Cue Sheet

The three lines that cost nothing
15:30 β every work light and every barn flood off, walked and checked by a person. Free, and the highest-return line on the sheet. The four barn floods are 5,000 K and they will destroy a $310 festoon if any one of them is on.
19:20 β the string lights. Sam's imagined moment, from Chapter 4's vision session, in month two: "It's just gone dark and the string lights come on and everyone kind of goes quiet for a second."
It exists only because 13:00 switched them off. Everything about this cue is scheduling.
22:20 β the gentle signal. Lights up, effects down, ten minutes before the cut-off. A social instrument, not a technical one: the room learns the evening is ending without anyone announcing it, and 22:30 arrives expected rather than abrupt.
πͺ Threshold Concept: the best thing in this design is a switch
The ReyesβWhitfield lighting budget is **$730** β twelve uplighters and 200 feet of festoon β against a $42,000 wedding. Everything else was bought in Chapter 13 as rentals.
And the single most memorable visual moment of the evening costs nothing at all. It is one person, at one minute, throwing one switch that a rental crew was told to leave off six hours earlier.
A design that has not been scheduled is a wish (Β§16.1). This is the same claim from the other end: a schedule, in this one case, is the entire design.

Discussion Questions
1. Chapter 13's "the released money funded barn lighting" was wrong and survived two chapters. This is the second such error in this project. Design the check, and say why a re-cut specifically produces this class of error.
2. All twelve uplighters go in the barn and the tent's sidewalls stay dark. Argue the opposite β that dinner is the longer, more scrutinised period (Β§16.6a) and that a dark tent wall for two hours is worse than a dark barn for one. Where do you land?
3. The margin is 237 W on a 10 kW generator, and the 25% headroom is not spendable. At what margin would you upgrade to 15 kW, and what does the answer depend on? Price being wrong in both directions.
4. The most memorable moment in the design is a $12 inline switch. Name three other places in this book where the highest-value intervention was a scheduling decision rather than a purchase, and say what they have in common.
5. The ceremony sound plan puts a lavalier on Sam and not on Alicia. Justify the choice, then argue against it. What would you actually do?
6. The 22:20 cue is described as a social instrument. Construct the argument that it is manipulative β that the room is being managed toward an ending it did not choose. Then respond.
7. Sundown's 3,200 W has not been re-confirmed since the menu changed. How many other month-six figures in this project are still being relied on? Find at least three, and design the sweep that re-checks them.
Mini-Project
Build a lighting plot and power budget for a real venue.
Pick a venue β ideally one with limited power β and a plausible guest count and timeline. Then:
- List the fixtures by job (Β§18.1), not by product.
- Specify colour temperature and CRI as numbers.
- Draw the plot with all eight items, including circuit and load per circuit.
- Compute the power budget from real fixture loads and size the supply. State the margin as a percentage of nameplate.
- Find the load nobody has counted. Ask the "does anything you're bringing plug in?" question of a real vendor list.
- Plan the ceremony sound, including what happens if there is no power.
- Write the cue sheet with a named owner per line β and identify every cue that costs nothing.
- Find the switch. Where is it, who reaches it, and is it labelled?
Deliverable: one plot, one power budget with a stated margin, one cue sheet. Step 8 is the one that separates this from a shopping list.
