Case Study 24.2 🔬 Deep Dive: Three Things on a Friday

The Reyes–Whitfield wedding is a Tier 3 illustrative composite. This case runs the rehearsal and finds three things, of which one was expected, one was suspected, and one was not being looked for at all.

Act One: The Friday, and Who Is In It

Three of the four floral people are in the wedding party, and Chapter 17 checked this in advance: the session ends at 4:30, which leaves an hour.

It works, and it only works because somebody looked.

Fourteen people, and two of them have not been in a room together in six years.

Act Two: What Was Prepared

The rehearsal script was written on Monday. Two things had already been done that week and both matter.

⚡ The −2 week work, done

The confirmation loop (§24.5a), run individually, eleven people:

"Just checking I've got you right — you're doing [X] on Saturday. Is that still right, and is there anything else you thought you were doing?"

It found one thing. Tomás Reyes, who has flown from Guadalajara, said: "I thought I might be doing a reading? Alicia mentioned it in the spring."

He was not on the list. There are three readings — the first reading, the psalm, and the Gospel, which Rev. Castellanos reads — and the two lay readers are Elena and a friend of Sam's.

Resolved before Friday: Alicia rang him. She had mentioned it, in March, and then the Mass question changed the shape of the ceremony and the reading count changed with it. Tomás was entirely gracious and said he had wondered.

He is doing the second reading. Sam's friend has been asked and is relieved.

The two-document comparison (§24.5a discovery 11):

Rev. Castellanos's order of celebration, read line by line against the run sheet. Six minutes.

It found one discrepancy. The run sheet had Rosa's blessing after the consent; the order had it before. Chapter 21 established that Rev. Castellanos placed it before for liturgical reasons and Chapter 20 had placed it before for arc reasons — and somewhere in the transcription it had moved.

Corrected on the run sheet. The order was right.

Two findings, both from a desk, both at −2 weeks, both costing about nine minutes in total.

Act Three: The Rehearsal

The three-abreast walk

Chapter 20's Option 2: Sam half a step ahead, Dennis and Marie just behind his shoulders. A 6-foot aisle. Walked twice, and nobody said the word "divorced."

"Sam, you're half a step in front. Dennis, Marie — just behind his shoulders, one either side, and don't try to keep level with each other. It's six foot wide so there's room.

Let's do it once and see how it feels."

A spacing note, delivered as a spacing note.

It took two passes and on the second one it looked, from the back row, like three people arriving together — which is exactly what Chapter 20 designed it to look like.

Act Four: The Tests

Ten minutes, and they found the third thing.

Test 1 — the four-minute test

Alicia and Sam in position, eighteen inches apart, saying one line of their vows at the volume they intend to use.

The finding: audible to about row eight, inaudible at row twelve.

Which is the middle outcome — "a normal PA solves it" — and confirms Chapter 18's plan: battery PA, two speakers flanking, lavalier on the officiant, and a second lavalier on Sam.

And one addition, made on the spot: the breeze off the ridge was audible in the planner's ears at the back row. Windscreens confirmed for all three microphones — $12, and they were in the DJ's kit already.

Test 2 — the readings, aloud and timed

Three readers, three readings, in position.

Tomás's reading is 3:10 and everybody had assumed two. It is not a problem — Shape C has room — but it is now a known number rather than an assumption, and the ceremony's total moves from 35:15 to 36:25.

And the instruction, given to all three: "slower than feels natural, look up at the end, and stop — don't add anything."

Tomás was given a printed copy, large. He had it on his phone.

Test 3 — the physical walk-through

Everything that is not the aisle: where the couple stand · Rosa's aisle seat at the flat end · the exit route · and the walk from the meadow to the barn where the signing happens.

🚨 The finding nobody was looking for

There is a drainage channel across the track between the meadow and the barn.

It is about four inches wide and two deep, cut into the compacted stone, and it runs the width of the track. It is invisible from six feet away and completely invisible at dusk.

Chapter 10's site visit did not find it. Chapter 11's floor plan does not show it. Chapter 13's load-in crossed it four times without noticing, because a crew carrying tables walks differently from a woman of eighty-eight in shoes she has not worn.

And at 5:08 on Saturday, the entire wedding walks over it — a hundred people, at once, following two people, in the direction of a drink.

Found at 5:57 on a Friday, by walking it.

The fix, agreed on the spot and executed that evening:

Test 4 — the reverse run

Three people, individually.

Tomás does not know, and he would have stood at a lectern in a meadow in front of a hundred people wondering.

Ninety seconds, and it was fixed in eleven words: "You go back to your seat — row three, on the left, where you are now."

Act Five: The Assignments — and the Reassignment

Eight minutes, and this is where Chapter 22 and Chapter 23's open finding gets resolved in public.

She is in two places at 5:08, which Chapter 23 found — and she has eight jobs, which nobody had ever put on one page.

📋 The Planner's Script: the reassignment, said aloud

"Before I hand out jobs — Elena, I've taken two things off you.

Beatriz is doing the family photographs. You're a witness at the signing at two minutes past five and the photographs start at ten past, in the meadow, and I'd put you in two places. That's my mistake and I should have caught it months ago.

And Danny's taking the cocktail tables at 8:40.

You've still got: the reading, the signing, and Rosa. Which is plenty, and Rosa is the important one."

Three things that does.

It says the mistake was the planner's, out loud, in front of the group — which is both true and the thing that makes it not a demotion.

It names what she keeps, and why the one that matters most is the one she keeps.

And it happens in public, so that the eleven other people know who to ask about photographs tomorrow.

The assignments, as given

One thing each, named out loud, with a time, written and sent that night.

And the sentence:

"If anything at all goes wrong tomorrow, or you're not sure about something, or you can't find someone — you come to me. Not to Alicia and Sam. That's the whole job, and it's the only thing I'll ask of any of you."

Act Six: The Three Things

Two were suspected categories and one was not being looked for at all.

And the third is the one that matters most, because at 5:08 on Saturday a hundred people walk that track, at once, in the direction of a drink, following two people — and Rosa Reyes, 88, is being taken out first, ahead of the crowd, by Elena.

The whole chapter's argument, in one finding: nobody was looking for it, and walking the route found it.

And one more thing, which is not a finding

The rehearsal finished at 6:15, as stated.

Fourteen people went to dinner knowing where to be, what they were carrying, what to watch for, and who to ask. Job 4, delivered.

And Alicia, at the end, to the planner:

"So that's it? That's the last thing?"

"That's the last thing. Tomorrow you just turn up."

What Is Still Open

Discussion Questions

1. Two of the three findings came from a desk at −2 weeks and one came from walking. What does that ratio suggest about how to allocate a planner's time?

2. The reassignment was made publicly and the planner took the blame out loud. Is that leadership or performance? What would the private version have cost?

3. The drainage channel was missed by a site visit, a floor plan, and four load-in crossings. Design the site-visit procedure that would have caught it, and say honestly whether you would have run it.

4. Tomás was gracious about a reading that had been mentioned and forgotten. Construct the version where he is not, and say what the planner does.

5. The confirmation loop's second half — "is there anything else you thought you were doing?" — found Tomás. Who else in this project should have been asked it, and were they?

6. Elena keeps three jobs, including Rosa. Is three still too many? Work out what happens if Rosa needs to leave at 8:40 rather than 9:10.

7. The case ends with "tomorrow you just turn up." Is that true? What does the couple actually have to do on Saturday, and is telling them otherwise a kindness or a fiction?

Mini-Project

Run a rehearsal, on paper, and find three things.

Take a real or constructed wedding with genuine complexity — a family difficulty, an outdoor ceremony, several participants. Then:

1. Do the −2 week work first. The confirmation loop, to every named participant, with both halves of the question. The two-document comparison, line by line. Record what each finds.
2. Write the forty-five-minute script with a stated end time.
3. Run the four tests and write, for each, what you would do with each possible finding.
4. Walk the route — the actual one, if you can — and record everything that is not on a drawing.
5. Assign the jobs, one each, with times — and lay every assignment for every person on one page and look at the clock.
6. Write the reassignment script for whoever you have over-assigned. There will be somebody.
7. Write the closing sentence.

Deliverable: one script, four test protocols, one assignment page, one reassignment. Step 5 is the one this book took twenty-four chapters to do properly.
