Chapter 35: Sustainability — Events That Don't Trash the Planet

Ninety-four per cent of that wedding's footprint is people getting to it.
And if they had used a hundred disposable forks instead of rented cutlery, the forks would have added about one and a half kilograms — roughly two hundredths of one per cent.
📜 Tier 3 — these figures are order-of-magnitude estimates built from widely published emissions factors, not a measured audit. The proportions are robust across almost every event of this kind. The absolute numbers are not measurements.
That table is the chapter.
Most event sustainability is theatre — not because the people doing it are insincere, but because the visible choices and the significant choices are almost entirely different sets, and the visible ones are the ones a client can see, photograph, and feel good about.
The two that dominate are travel and food. Neither is on a standard sustainability checklist. Both are uncomfortable to raise. And a planner who knows this can do more in one conversation than in a hundred compostable forks.

35.1 Where It Actually Is
🚪 Threshold Concept: the visible choices and the significant choices are almost entirely different sets
Ask any client, any vendor, or any planner what makes an event sustainable and you will get: single-use plastics, recycling, local flowers, no confetti, digital invitations.
Every one of those is real. Together they are typically under five per cent of the footprint.
And the reason is not stupidity — it is that the significant choices do not look like sustainability choices. "How many people are coming and how far are they travelling" is a guest-list conversation. "What's the main course" is a menu conversation. Nobody files them under environment.

⚠️ Common Pitfall: measuring what is easy to measure
Waste is countable. You can weigh a bin, photograph a compost pile, and put a diversion rate on a slide.
Emissions from guest travel are diffuse, borne by others, and impossible to weigh — so they get left out of the boundary entirely.
Which produces the standard event sustainability report: an impressive diversion rate, a list of local suppliers, and no mention of the largest single line. It is not dishonest. It is a boundary drawn where the data is, and the effect is the same.
35.1a Computing It Yourself
One hour, once, and it is the only analysis in this chapter that changes what you do.

A hybrid option that removes eight long-haul attendees saves more than every other measure combined, and it is a programme decision rather than an environmental one — which is Chapter 31's territory and is where the conversation belongs.
35.2 The Two That Dominate
And both are outside a planner's direct control, which is why they are avoided and why they are worth the chapter.
💰 Run the Numbers: the comparisons that reset your intuitions
All figures are widely published order-of-magnitude factors. Use them for ranking, never for reporting.

Switching one hundred beef mains to chicken saves about 400 kg — roughly the same as one guest not taking a short-haul flight.
And a full day of catering for 400 people, at the high end, is about 3,600 kg — which is one and a half long-haul passengers.
🌍 Global Perspective: whose footprint is it?
A guest's flight is emitted by an airline, paid for by the guest, and caused by an invitation.
Every serious carbon accounting framework has a version of this problem, and the honest answer is that it depends on the boundary you draw — which is a choice, not a fact.
Three defensible positions. Count everything caused by the event, which is the most useful for decision-making and makes most events look bad. Count only what the organiser purchased, which is the most defensible for reporting and excludes the largest line. Or count everything and report the two separately, which is what this chapter recommends.
What is not defensible is choosing the boundary after seeing the numbers.
35.3 Travel
The largest line, and a planner's leverage on it is real but indirect.

📋 The Planner's Script: raising it without moralising
At the venue-selection stage, once, factually, and then dropped:
"One thing worth knowing while you're comparing these two, and then I'll leave it with you.
Most of a wedding's environmental footprint is people driving and flying to it — usually more than everything else put together.
The Hollow is forty minutes from where about seventy of your guests live. Ashcott is two and a half hours. That difference is worth more, environmentally, than every other decision we'll make this year combined — and it also means your guests get home, and you'll probably get a better turnout.
I'm not telling you which to pick. Ashcott is beautiful and there are good reasons to want it. I just didn't want you to find out afterwards that this was the decision that mattered."
Note what the script does not do. It does not ask them to choose the sustainable option, it does not imply that choosing Ashcott is wrong, and it mentions turnout — because the argument that also serves the client's own interest is the one that survives the year.
35.4 Food
The second line, and the one where a planner has the most direct influence.

⚠️ Common Pitfall: the vegetarian option nobody is offered
A menu with a vegetarian option that guests must request produces a 5–10% uptake.
A menu where the vegetarian dish is the default and meat is available on request produces something entirely different — and the mechanism is Chapter 29's: defaults are enormously powerful and requesting is a cost.
Which is a real, free, large lever, and it is also a decision that belongs to the couple and not to the planner. Raise it, once, with the number attached, and take the answer.

100 guests, one main course.

And the cost, in the other direction, is frequently negative — a good vegetarian main is usually cheaper per head than beef, which makes this the only large lever in this chapter that saves the client money.

35.4a What a Carbon Number Misses
Everything in this chapter so far has been measured in one unit, and that unit does not capture several things that matter.

Its value is not carbon. It is that a hundred kilograms of plastic film in a rural landfill is a real harm that the carbon number scores at almost zero.
⚠️ Common Pitfall: optimising a single metric
A "low-carbon" choice can be worse on water, worse on biodiversity, or made by people paid badly.
Two live examples. Imported flowers grown in high sunlight can have a lower carbon footprint than locally grown ones raised in a heated greenhouse — and a considerably larger water and land footprint, in places where water is scarce. And some plant-based single-use products score well on carbon and poorly on land use.
The honest response is not to give up on measurement. It is to hold the carbon number as the primary ranking tool — because it is the one where the event industry's biggest error lives — while refusing to let it be the only question.
The practical version: use carbon to decide where the effort goes, and use judgment about everything else once you are there.

35.5 Waste and Diversion
Under 2% of emissions and a large share of the visible impact — and it is worth doing properly, for reasons that are not about carbon.

Surplus food
⚠️ The obstacle is almost never the law, and almost always the belief about the law
Many jurisdictions have specific protections for good-faith donation of surplus food — in the US, the Bill Emerson Good Samaritan Food Donation Act and its 2023 amendment; similar provisions exist in many other countries.
And yet the commonest sentence in this area is "we're not allowed to donate it, for liability reasons," said by a caterer who has never checked.
📜 Tier 2 and a genuine caution: protections vary, they have conditions, and food safety requirements are real and are not waived — temperature control, time limits, and what may and may not be donated. Find out what applies where you work, in writing, before promising anything.
⚡ What a workable donation plan requires
A receiving organisation, identified and contacted in advance — not on the night · agreement from the caterer, in the contract · containers and labelling · a temperature and time protocol · transport, and somebody named to do it · and a realistic estimate of what will actually be surplus, which is the thing nobody does.
Flowers
Chapter 17's material, and the diversion is easy and underused. Hospices, care homes, hospital wards, and community groups will frequently collect the following morning. It requires a phone call at −3 weeks and somebody named at the load-out, and it is one of the few things in this chapter that produces visible good the couple hear about afterwards.

A 150-guest wedding.

Which is not an argument against doing it. It is an argument for reporting it accurately — as waste diversion, which it is, and not as a carbon achievement, which it is not.
35.6 Reading Vendor Claims
⚠️ Common Pitfall: "compostable" is not a property of an object
It is a property of an object plus a facility.
Most "compostable" cups, cutlery, and packaging are commercially compostable — they require an industrial facility running at a sustained high temperature. In a home compost heap, or in landfill, they behave approximately like plastic.
Which means the question is never "is it compostable." It is: does a commercial composting facility exist within collection distance, does the venue's waste contractor actually take material there, and will the bins be segregated well enough for the load not to be rejected?
A contaminated compost load goes to landfill entire. One person putting a plastic bottle in the right bin at the wrong event can send the whole thing.
⚡ Quick Reference: five questions for any sustainability claim
"Compared to what?" "50% less carbon" than what baseline? "Who verified it?" A recognised standard, a third party, or the vendor's own marketing? "What share of your total is that?" A supplier who has decarbonised 3% of their operation and mentions only that "What happens to it afterwards?" The compostable question "Can you show me the number?" The single most effective question, and the one that ends most conversations
And the honest counterweight: many vendors are doing genuine, expensive, unglamorous work and are bad at describing it. A florist who grows their own foliage, a caterer who has cut their food waste from 18% to 7%, a rental company whose whole business model is reuse — these are the real thing and they frequently do not call it sustainability at all. Ask what they do, not what they claim.
35.7 The Budget Conversation

Which is the argument that actually works with a client: you are not asking them to spend money on the environment. You are pointing out that the largest environmental decisions are also the ones that save money, improve turnout, and get guests home.
The right-hand column is where sustainability becomes a budget line, and it is where the small effects are.
35.8 Telling Guests
⚠️ Nobody came to be educated
A wedding or a conference is not a campaign, and guests who are lectured will remember the lecture rather than the choice.
Three rules.
State it once, briefly, factually, in a place people are already reading — a line in the programme, a sentence on the website.
Say what was done, not what people should do. "The flowers are going to St Bride's hospice in the morning" is information. "Please think about your impact" is a lecture.
And never make a guest feel their attendance was a problem. They were invited. A note about travel emissions in a wedding programme is a strange thing to do to somebody who drove three hours to be there.
📋 What good looks like — one paragraph, in the programme
"A few things about today, in case you're curious. The flowers were grown eleven miles away and are going to Bramblewick House tomorrow morning. The food that doesn't get eaten is going to the community kitchen in Thornbury — Marguerite's team have it organised. And there's a minibus at 10:40 and again at 11:15, which means about thirty fewer cars on the lane. Thank you for coming — some of you a very long way."
That paragraph does four things. It reports rather than instructs. It names the recipients, which makes it real. It attaches sustainability to a convenience (the minibus). And its last clause thanks people for travelling rather than implying they should not have.
35.8a When the Client Has to Report It
A growing share of corporate work now comes with an actual reporting obligation attached, and a planner who understands it is selling something most competitors cannot.

⚠️ Common Pitfall: answering a data request with an estimate that looks like an audit
A sustainability team asks for the event's emissions. You send a spreadsheet.
It goes into a corporate disclosure, and a number you produced in an afternoon from published factors is now a line in a document with legal weight.
What to send instead: the underlying activity data — passenger-kilometres by mode, room-nights, covers by menu type, kWh, vehicle-kilometres — and let their team apply their own factors.
You hold the activity data and nobody else does. That is genuinely valuable and it is what they actually need. Their emissions factors, their boundary, their methodology, their disclosure.
State the boundary you used, state that the figures are estimates, and do not round to three decimal places.
🚪 The commercial point, stated plainly: this is a service you can charge for
Collecting travel data at registration, recording covers by menu type, logging generator hours, and keeping vendor freight distances is a small amount of extra work at the time and is impossible to reconstruct afterwards.
A planner who hands a corporate client a clean activity-data pack four weeks after the event has done something the client's own team cannot do, and it is Chapter 31's "a defensible answer in April" in a second currency.
And the honest note: it makes the number visible, which will sometimes produce an uncomfortable conversation. That is the service working, not failing.
🧩 Productive Struggle
A technology company's annual user conference. 1,400 attendees, 62% flying, 18% of those long-haul. Three days, a convention centre, $2.1M.
The client's new head of sustainability wants the event to be "carbon neutral" and has a $40,000 budget for it. She is serious, competent, and has been given this by an executive who wanted a press release.
You compute it: roughly 3,900 tonnes CO₂e, of which 3,500 is aviation.
$40,000 buys you, at a defensible offset price, perhaps 1,300–2,600 tonnes of variable quality.
Write what you tell her. Then answer: what would you actually do with the $40,000?
Think for at least five minutes before opening this
First, the thing not to do: take the money, buy offsets, and let "carbon neutral" go in the press release. It is the easiest option, it is what was asked for, and it is a claim that will not survive a journalist with a calculator — and the reputational risk lands on her, not on you.
What you say, and the order matters:
"Before we spend anything, here's the shape. The event is about three thousand nine hundred tonnes and three and a half thousand of that is people flying. Everything else — the venue, the food, the build, the materials — is about four hundred.
So there are only two levers that are big enough to matter: how many people fly, and whether they need to.
Forty thousand dollars of offsets buys somewhere between a third and two thirds of the total, at a quality I can't verify for you and wouldn't want you defending publicly. I don't think 'carbon neutral' is a claim this event can support, and I'd rather tell you that now than after somebody else works it out.
Here's what I think the forty thousand actually buys."
And what it buys, in rough order of effect:
A high-quality hybrid track for the sessions that do not require attendance — production, platform, and a genuinely good remote experience rather than a camera at the back. If it removes 120 long-haul attendees, that is roughly 290 tonnes, and it is a real reduction rather than a purchase.
A regional second event next year, scoped this year. Two smaller events in two regions can carry the same attendance with a fraction of the aviation, and the analysis that justifies it costs a few thousand dollars now.
Rail incentives and a booking tool that defaults to rail on routes where it is competitive. Modest, cheap, and it shifts behaviour for years.
The activity-data pack (§35.8a), so that next year's number is measured rather than estimated. Perhaps $6,000, and it is the thing that makes every future decision arguable.
And then, with what remains, offsets — bought well, named publicly, and reported as offsets rather than as neutrality.
The claim she can actually make: "We measured it. Ninety per cent is attendee travel. We cut it by X% with a hybrid track, we're moving to a regional model next year, and we've offset Y tonnes of the residual through Z."
That is a much better press release than "carbon neutral," and unlike "carbon neutral" it is true.
The thing to notice about your own answer: if you spent the $40,000 on the event's own operations — renewable power, reusable signage, sustainable catering — you optimised the four hundred tonnes and ignored the three and a half thousand. That is §35.1's error, with a budget attached.
35.9 The Limits, Honestly

This should be said plainly because almost nobody in this industry says it.
A planner's income scales with event size and budget. A planner paid a percentage has a direct financial interest in more guests, more suppliers, and a more elaborate event, and every one of those increases the footprint.
That does not make the advice in this chapter dishonest. It makes it advice given by somebody with an interest, which is a thing a reader is entitled to know.
And the practical resolution is not to refuse work. It is to make sure the client hears the largest levers early, in plain terms, and then to build whatever they choose, well — which is Chapter 32's arts-gala problem in a different domain and has the same answer: you supply the arithmetic; they supply the decision.
⚠️ On offsetting
Offsetting is not a reduction and should never be reported as one.
The market's quality is genuinely contested, verification is difficult, and a number of high-profile schemes have been found to deliver far less than claimed. Some offsets are good; establishing which is real work.
The defensible position: reduce first, report the residual honestly, and if you offset, say what you bought, from whom, verified by whom — and never let it substitute for the venue decision.
And three more limits worth stating.
The numbers in this chapter are estimates. Emissions factors vary by source, by method, and by year. They are good enough to rank decisions and not good enough to report as an audit — and a planner who presents a spreadsheet total to three decimal places has overstated what they know.
A single event's footprint is small. 8.5 tonnes is roughly one person's annual emissions in a wealthy country. The argument for doing this is not that one wedding matters; it is that the practice, the supplier expectations, and the norms compound.
And some of the most effective things are not the planner's to decide. The guest count, the location, the menu, whether it is a destination event — all belong to the client. What belongs to the planner is making sure those decisions are made knowingly.
35.10 Practical Notes
On measuring at all. A rough estimate beats none, and the ranking is what matters. Free calculators exist and disagree with each other; use one consistently rather than searching for the right one.
On the venue's waste contractor. Ask what actually happens to each stream, not what the bins say. In many places the answer is disappointing and it is better to know.
On bins. Segregation fails without signage, quantity, and a person. Chapter 29's lesson: the provision exists and the activation does not.
On winter marquees. Heating a marquee is one of the largest energy loads in this book, and it is invisible because it is somebody's hire item rather than a fuel bill.
On favours. Chapter 29's notice ranking already established that nobody notices them. They are also, per dollar, among the most wasteful items at any event.
On digital versus print. Mostly better and not by as much as people think — and a printed programme that also carries Chapter 29's vows and access information is doing real work. Do not cut the thing that serves guests to save eleven dollars of paper.
On what to do first. Compute the split. One hour, roughly, once. It will tell you that the venue decision and the menu are the whole game, and you will stop spending your effort elsewhere.
On the thing clients ask for that does not exist. "Can we make it zero waste?" No. A hundred people eat, and there will be bones, peelings, packaging, and things that broke. "Zero waste to landfill" is achievable in some places with real work; "zero waste" is a slogan — and telling a client that, early, buys you the credibility to deliver the achievable version.
On confetti and glitter. Both are frequently banned by venues and both persist. Dried petals, leaves, or nothing. Conventional glitter near water is genuinely bad and "biodegradable glitter" claims vary wildly in what they mean.
On the vendor who is doing it properly. Say so, to the client, by name, and pay them on time. The most useful thing a planner can do for supply-chain sustainability is to keep the good suppliers in business — which is a Chapter 12 argument arriving here.
On your own operation. A planner's own footprint is site visits, and it is not trivial across a year. Consolidate them, and Chapter 33's video-walkthrough substitute is an environmental measure as well as a practical one.
On being asked to certify something. You cannot. Certification is a third-party function, and a planner who signs off their own event's sustainability claim has misunderstood the word.
35.11 Summary
The visible choices and the significant choices are almost entirely different sets, and the significant ones do not look like sustainability choices — "how many people and how far" is a guest-list conversation.
Guest travel is typically 50–90% and food is 5–30%. Everything else — forks, straws, confetti, signage — is under five per cent combined.
One transatlantic guest ≈ 400 beef dinners ≈ 150,000 forks.
The Reyes–Whitfield wedding was 94% travel, and a hundred disposable forks would have been two hundredths of one per cent.
Travel's levers, in order: where the event is relative to the guests · how many come · whether it is a destination event · coaches · on-site accommodation · car-sharing. The first three are decided before a planner is usually engaged, which is why raising them early is the highest-value act in this chapter.
Raise it once, factually, with the number, and mention the argument that also serves the client — turnout, and guests getting home.
Food's levers, in order: the protein · how much is prepared · what happens to the surplus · and everything else. The fourth is what everybody talks about and is the smallest, and "local" is frequently over-credited because transport is typically under 10% of a food item's footprint.
Beef → chicken across 100 guests saves roughly one short-haul flight, and usually saves money — the only large lever here that does.
Waste is under 2% of emissions and worth doing properly anyway. Prevent, reuse, redistribute, recycle, compost, landfill — and most event sustainability starts at tier four while the money is in tiers one to three.
The obstacle to food donation is almost never the law and almost always the belief about it — but food safety requirements are real, protections have conditions, and you find out in writing before promising anything.
Report a diversion rate as a diversion rate. 83% diverted is a genuine achievement and about 15 kg of avoided CO₂e; calling it a carbon achievement is the error.
"Compostable" is a property of an object plus a facility, and the questions are whether the facility exists, whether the contractor uses it, and whether the bins will be clean enough for the load not to be rejected.
Ask any claim: compared to what · who verified it · what share of your total · what happens afterwards · and can you show me the number. And ask good vendors what they do rather than what they claim, because the real ones are often bad at describing it.
Almost everything that matters is free or saves money, which is the argument that survives the budget conversation.
Tell guests once, factually, naming the recipients, attached to a convenience — and never imply their attendance was the problem.
And say the limits. The most sustainable version of most events is a smaller one closer to home, and a planner's income scales the other way. Offsetting is not a reduction. The numbers are estimates good for ranking and not for auditing. And the largest decisions belong to the client — what belongs to the planner is making sure they are made knowingly.
