GPT-4o: The Workhorse

GPT-4o ("o" for "omni") is OpenAI's flagship general-purpose model and should be your default for nearly everything in the ChatGPT interface. It represents a significant advance over GPT-3.5 in:

  • Instruction following: GPT-4o is substantially more reliable at following multi-part, nuanced instructions. If you tell it "write this in a casual tone, keep it under 200 words, and include exactly three bullet points," GPT-4o will actually do that. GPT-3.5 will probably drift.

  • Context handling: GPT-4o maintains coherence across longer conversations and longer documents.

  • Speed: Despite being stronger, GPT-4o is faster than the original GPT-4, making it practical for everyday use.

GPT-4o is what you should use for writing, analysis, coding, image interpretation, data work, and complex reasoning tasks.

o1 and o3: The Reasoning Models

OpenAI's "o-series" models (o1, o1-mini, o3, o3-mini) represent a different architecture designed specifically for tasks requiring deep reasoning. These models spend more time "thinking" before responding — sometimes several seconds to several minutes — and produce solutions to harder problems at the cost of response time.

Conversation Management

Your conversation history lives in the left sidebar. A few things most users miss:

Renaming conversations: By default, ChatGPT names conversations based on your first message. The names are often useless. Click on any conversation in the sidebar and rename it something you will actually find later. This sounds trivial but becomes important when you have hundreds of conversations.

Archiving and searching: The search function in the sidebar searches across all your past conversations. If you used ChatGPT to draft a client proposal three months ago and can't remember what thread it was in, search works reasonably well. Archiving keeps your sidebar clean without deleting anything.

Conversation branching: When you regenerate a response or edit a previous message, ChatGPT preserves the prior versions. You can navigate between branches using the arrow controls that appear next to the message. This is useful when you want to explore different directions from the same starting point without losing your work.

Sharing conversations: You can generate a shareable link to any conversation. The shared link is a snapshot — it does not update as the conversation continues. Useful for sharing a workflow with a colleague or citing a specific exchange.

Custom Instructions

Custom Instructions are the most underused power feature in ChatGPT. They allow you to set persistent context and preferences that apply to every conversation, eliminating the need to re-explain your situation every time you start a new chat.

Custom Instructions live in Settings and have two fields:

"What would you like ChatGPT to know about you to provide better responses?"

This is where you provide context about yourself, your work, your role, and your relevant background. Strong examples:

"How would you like ChatGPT to respond?"

This is where you set format, tone, and behavioral preferences:

Be direct and concise. Skip preamble — don't start responses with "Great question!"
or "Certainly!" Just answer. Use plain language; avoid buzzwords. When I ask for
something short, keep it short. When I ask for analysis, go deep. If you're uncertain,
say so explicitly rather than presenting speculation as fact. Use markdown formatting
for anything structural (headers, code, lists) but plain text for conversational replies.

Memory

When memory helps: Memory is most valuable for users with a consistent work context — the same job, the same projects, the same formatting preferences over time. It reduces the repetition tax of re-establishing context.

When memory can hurt: Memory can introduce stale context that misleads responses. If you mentioned a project six months ago that is now complete, ChatGPT might still try to connect new requests to that old project. Review your memory store if you notice ChatGPT making unexpected assumptions.

The GPTs Marketplace

GPT-4o with custom configurations — called "GPTs" (the product name is unfortunately easy to confuse with the model name) — can be created by anyone and published to the GPTs marketplace at chatgpt.com/gpts.

The marketplace contains thousands of GPTs for everything from legal document review to language learning to cooking. Quality varies enormously. The most useful GPTs tend to be narrow and specific — a GPT configured specifically to help you write press releases in your company's style will outperform a generic "writing assistant" GPT every time.

⚠️ Common Pitfall: Treating All Marketplace GPTs as Trustworthy

Marketplace GPTs are created by third parties. Some are excellent; others are poorly configured, out of date, or built by creators who may not have your interests in mind. The GPT Builder Interface

Access the builder at chatgpt.com/gpts/editor. You will see two panels: Configure (where you set everything up manually) and Preview (where you test as you build).

The Configure tab has these fields:

Name and Description: What you want the GPT to be called and a short description that appears in the marketplace (or just helps you remember its purpose).

Instructions: The system prompt. This is the most important field. Your system prompt should tell the GPT: - What role it is playing - What it should and should not do - How it should format responses - What tone to use - Any constraints or special behaviors

Conversation starters: Suggested prompts that appear when someone opens the GPT. Good conversation starters reduce the friction of getting started and demonstrate the GPT's capabilities.

Knowledge: Files you upload that the GPT can reference. Accepted formats include PDFs, Word documents, text files, spreadsheets, and more. The GPT can search this knowledge base when responding to queries.

Capabilities: Toggle on or off: Web Browsing, DALL·E Image Generation, Code Interpreter and Data Analysis. Only enable what the GPT actually needs.

Actions: Custom API integrations. This requires developer setup but allows the GPT to connect to external services — Notion, Slack, your company's internal tools.

Writing an Effective System Prompt for Your GPT

The system prompt is the instruction set that shapes all of the GPT's behavior. A weak system prompt produces an inconsistent, generic GPT. A strong one produces a reliable specialist.

Structure your system prompt to cover:

  1. Role definition: "You are a marketing content assistant for [Company Name]. Your job is to help create on-brand marketing materials."

  2. Core knowledge: What does this GPT know? If you have uploaded files, tell it what they contain and when to reference them.

  3. Behavioral rules: What should it always do? What should it never do? ("Always maintain the brand voice described in the brand guidelines file. Never invent product features that are not in the product documentation.")

  4. Format preferences: How should responses be structured? ("For social media posts, provide three variations unless asked for more. Always include character counts.")

  5. Handling edge cases: What should it do when asked something outside its scope? ("If asked about competitors, focus only on [Company Name]'s differentiated value. Do not disparage competitors.")

Raj has a quarterly business review in two hours. His manager just sent him a 50,000-row CSV of customer transaction data and asked for a summary of "which segments are driving revenue growth."

Without Advanced Data Analysis, Raj would spend the next two hours in Excel. With it:

He uploads the file and sends: "I have a quarterly business review in two hours. This is our transaction data. Can you first describe what's in this dataset — columns, row count, data types, any quality issues — and then tell me what you need from me to answer: which customer segments are driving revenue growth this quarter versus last?"

ChatGPT runs code, returns: the dataset has 50,247 rows, 12 columns including customer_id, segment (Enterprise/Mid-Market/SMB), transaction_date, amount, product_line. It identifies that 3.2% of rows have null segment values. It asks: "Should I exclude rows with missing segments or bucket them as 'Unknown'? DALL·E Integration

ChatGPT Plus includes access to DALL·E 3 for image generation. The integration is seamless — you can ask for images in natural language within any conversation, and ChatGPT will generate them without you needing to craft an elaborate prompt.

⚠️ Common Pitfall: DALL·E Consistency Limitations

DALL·E generates each image independently. It cannot reliably produce the same character, product, or visual identity across multiple images. If you need consistent visual branding — the same mascot in multiple poses, for instance — you will need to use the generated image as a reference and iterate carefully, or use specialized tools like Midjourney with style references. Do not plan a visual identity system around DALL·E without understanding this constraint.

Web Browsing

ChatGPT's browsing capability allows it to search the web in real time when you ask about current events, request up-to-date information, or explicitly ask it to look something up.

Browsing is triggered automatically when ChatGPT determines it needs current information, or you can explicitly request it ("search the web for recent reviews of [product]").

Important nuances: - ChatGPT will show you the sources it consulted — review them - Web browsing does not mean everything it tells you is accurate; it can misread or misrepresent sources - Browsing is slower than non-browsing responses; use it intentionally - For deep research, browsing within ChatGPT is a starting point, not a replacement for proper research

File Uploads and Vision

You can upload images, PDFs, Word documents, PowerPoint files, spreadsheets, and code files directly to conversations. ChatGPT can:

  • Summarize document content
  • Extract specific information ("what are the payment terms in this contract?")
  • Compare two documents
  • Describe and analyze images
  • Read charts and diagrams
  • Identify issues in screenshots
  • Work with code files

Vision capability (analyzing images) works well for clear, well-lit photos, diagrams, and screenshots. It can struggle with handwritten text, very low-resolution images, and complex dense charts where label legibility is important.

Voice Mode

ChatGPT's Advanced Voice Mode transforms it from a text interface into a conversational one. The voice is fluid, responds naturally, and handles interruptions. It is useful for:

  • Thinking through problems out loud ("I'm wrestling with a difficult conversation I need to have with a team member — can we talk through it?")
  • Hands-free use during commutes or while doing other tasks

  • Situations where typing is inconvenient

Voice Mode does have limitations: it does not work well with code, complex formatting is lost, and it cannot use tools like code interpreter or web browsing in voice mode.

For very long outputs, you may need to "continue" multiple times. This is expected behavior, not a failure.

Strategic Regeneration

Every response has a regenerate button (circular arrow icon). Use it when: - The response missed the point - You want a different tone or approach - The first response was on the right track but too long or too short - You got formatting you didn't want

Before regenerating, consider whether clarifying your instruction would produce better results than random regeneration. If the response was close but not right, edit your prompt to address the specific gap rather than rolling the dice.

Splitting Long Tasks

ChatGPT has context window limits and tends to degrade in quality when asked to produce very long outputs in a single response. For long-form work, break it into phases:

This produces better work at every section, allows you to course-correct between sections, and sidesteps the context degradation that affects very long single-prompt outputs.

"Before you answer" Technique

Placing a brief reflection instruction before the task consistently improves output quality:

"Before you answer, take a moment to consider the full scope of what I'm asking and note any ambiguities or assumptions you're making. Then proceed."

Or more specifically: "Before drafting this email, identify the three most important things this email needs to accomplish."

This is not magic — it is asking the model to front-load planning before execution, which reliably improves the quality of complex outputs.

Explicit Format Instructions

ChatGPT defaults to markdown formatting — headers, bold text, bullet points — because that is what looks good in its interface. If you are copying output to a platform that doesn't render markdown, or need plain text, say so explicitly:

"Respond in plain text only — no markdown, no bullets, no headers."

Conversely, if you want very specific formatting: "Format this as a two-column table with headers 'Feature' and 'Benefit'. Use HTML table syntax, not markdown."

Best Practice: Specify Output Destination

Tell ChatGPT where you are going to use the output: "I'm going to paste this into a PowerPoint slide," or "this will go directly into a Slack message," or "this needs to work in a plain-text email." Knowing the destination helps ChatGPT calibrate length, formatting, and tone appropriately without you having to specify every dimension manually.


14.6 Custom Instructions in Depth

About you section:

strategy, creative direction, campaign planning, agency management, and a lot of writing
— briefs, emails, presentations, strategy docs. I have strong opinions about brand voice
and design. I know marketing well but lean on ChatGPT for writing speed and creative
options, not for marketing strategy I should already know.

Response preferences:

Give me options when writing — at least two versions of any copy so I can choose or
combine. Be concise. If I ask for a headline, give me 5-7 options, not one. Skip
disclaimers about needing more context — just make reasonable assumptions and note
them at the end. Use informal language unless I specify otherwise. For long documents,
use clear headers. Don't add sections I didn't ask for.

Raj's Custom Instructions (Data Analyst / Engineer)

About you section:

Senior data analyst at a B2B SaaS company. I work in Python and SQL primarily. Also
use dbt, BigQuery, and Looker. I write a lot of code and a lot of technical documentation.
My non-technical stakeholders include product managers and executives. I'm comfortable
with statistics and data modeling but not deep ML/AI research.

Response preferences:

For code: always explain what the code does, not just provide it. Prefer readable,
commented code over clever code. If there's a more efficient approach I should consider,
mention it but don't rewrite everything without asking. For explanations to non-technical
audiences: avoid jargon, use analogies. When I ask you to simplify something, actually
simplify it — don't use simpler words for the same complexity. Point out potential bugs
or edge cases I might have missed.

Elena's Custom Instructions (Strategy Consultant)

About you section:

Independent strategy consultant serving mid-market companies. Projects typically involve

Response preferences:

Be analytical. Surface the "so what" — don't just describe, interpret. When I give you
documents to analyze, tell me what's surprising, contradictory, or missing, not just
what's there. I write in a professional but direct style — not formal academic, not
casual. When I ask for document drafts, use Microsoft Word-compatible formatting (avoid
markdown that won't translate). Flag your confidence level when making analytical claims.

More direct behavior: Without the interface layer, API models tend to be slightly more direct and less inclined toward the polished presentation style the web interface encourages.

System prompt control: In the API, developers can set a system prompt that shapes all model behavior in ways users cannot override. This is both more flexible (you can customize deeply) and a responsibility (you need to get it right).

Free and Plus accounts: By default, conversations may be used to train OpenAI's models. You can opt out in Settings > Data Controls > Improve the model for everyone. Opting out means your conversations will not be used for training.

Teams account: The ChatGPT Teams plan provides a workspace with data controls appropriate for professional use. By default, Teams accounts do not use your data for model training. Conversations are isolated to your workspace.

Enterprise account: ChatGPT Enterprise offers the strongest privacy guarantees: no training on your data, enterprise-grade security, and custom data retention policies. Appropriate for organizations with strict data governance requirements.
