Appendix H: Printing & Output Reference
This is the page to open the moment a finished photograph has to leave your library — to a print lab, a website, a feed, or a client. Everything here was reasoned through in the chapters: export and resizing and output sharpening in Chapter 25, color spaces in Chapter 27, delivery and archiving in Chapter 30, and prints, paper, soft-proofing, and platform aspect ratios in Chapter 34. This appendix strips the reasoning away and leaves the working reference: what the numbers mean, how to size for each destination, what each paper does to an image, and a set of ready-to-use export presets described as settings you can dial in anywhere.
One rule sits above all of it, carried over from Chapter 30: you never deliver or overwrite your master. Every value here describes a purpose-built copy exported from your developed master — sized, sharpened, and color-managed for one destination. The master stays untouched, so you can always export again. Where a table gives software-style settings, it also gives a phone-equivalent path, because every output here is reachable from a phone, and a reader with only a phone always has a way in.
H.1 Resolution and PPI — what "300 ppi" actually means
The single most misunderstood number in output is PPI (pixels per inch): how many of your image's pixels are packed into each inch of the final print. It is not stored in the photograph as a fixed property — it is simply your pixel count divided by the size you print at. The same file is "low-res" printed huge and "high-res" printed small.

A 6000 × 4000 pixel file (a common 24-megapixel frame):
printed at 8 × 12 in → 6000 ÷ 12 = 500 ppi (more than enough; crisp)
printed at 13 × 20 in → 6000 ÷ 20 = 300 ppi (the standard "fine" print)
printed at 20 × 30 in → 6000 ÷ 30 = 200 ppi (still fine for normal viewing)
printed at 40 × 60 in → 6000 ÷ 60 = 100 ppi (fine for a wall you stand back from)
SAME FILE every time. "300 ppi" is not a quality baked into the photo —
it's the size at which THIS pixel count happens to hit 300 per inch.
Why 300 ppi is the customary print standard. At normal print-viewing distance (arm's length, a photo in the hand or on a desk), an eye with typical acuity stops resolving individual dots somewhere around 300 per inch — so packing more pixels in than that buys little a viewer can see. 300 ppi is the convention for fine, hand-held prints, not a law of physics; it is a sensible target, not a cliff.
The distance rule that frees you from the panic. The bigger the print, the farther away it is viewed, and the fewer pixels per inch the eye demands. A billboard is a handful of ppi and looks sharp from the road. So the honest question is never "is my file 300 ppi?" — it is "how close will someone stand to this print?"

For the web, PPI is a myth. A screen displays your image at whatever total pixel dimensions you give it; the "72 ppi" you may have heard is a leftover from old monitors and means nothing today. For screens, ignore PPI entirely and think only in total pixels on the long edge (§H.2). PPI matters only when pixels meet paper.
On upscaling (making a small file bigger). If your pixel count is too low for the size you want, software can interpolate — invent new pixels by guessing between the ones you have, increasingly well with modern "AI" upscaling. It genuinely helps a moderate enlargement, but it cannot add detail the lens and sensor never recorded; pushed hard, it smears or hallucinates. Treat upscaling as a rescue, not a plan. The cleanest big print starts from a big capture.
H.2 Sizing for the destination — print vs. web vs. social
The same master serves three worlds that count size in two different units. Print counts in inches at a target PPI. Screens count in total pixels on the long edge. Get the unit right and sizing is easy.

Print sizing. You usually do not resize for print at all — you send the full-resolution master (or a full-size TIFF/JPEG export) and let the lab's driver handle it, having checked with §H.1 that your pixel count clears a comfortable PPI at your chosen size. Resizing only enters if a lab asks for an exact pixel dimension.
Web and social sizing. Here you do resize down, because a full-resolution file is needlessly heavy and slow. Export a copy whose long edge is a generous screen size — large enough to look crisp on a big display, small enough to load fast. Exact numbers are a judgment call and platforms re-compress whatever you send, so think in ranges, not magic figures:

Send generous, let the platform shrink. Uploading slightly larger than a platform needs and letting it downscale almost always beats uploading something already tiny — its downscale is usually cleaner than your guess, and you avoid a soft, under-sized image. What you must never do is re-share an already- compressed copy (re-compressing a JPEG smears it); always export fresh from the master.
Why the master never goes to the web. A delivery copy is downsized, recompressed, sharpened for screen, and converted to sRGB — it has thrown away exactly the resolution and color a print needs (Chapter 30). The master keeps all of it. Export down to a copy; never edit up from a delivery file.
H.3 Paper — what each surface does to an image
Paper is not packaging; it is part of the photograph, the way the light in a room is part of a scene (Chapter 34). The same file on three papers is three different pictures. Choose paper the way you choose light: for what it does to tone, color, and mood. The named families below are the genuine, stable categories every lab offers — described by what they do, not by any one product.

Neither is "better." Glossy suits punch; matte/rag suits restraint and tone.
Match the paper to the PHOTOGRAPH, not out of habit.
The reflective-print truth (from Chapter 34). A screen emits light and flatters everything; a print only reflects the room's light, so every tonal decision stands on its own — and matte papers, with their slightly lifted black, demand the most honest files. If a print looks flat that a screen made punchy, the paper is telling you the truth the glow was hiding.
Phone-only path to a print: you are at no disadvantage. A lab takes a file, and a file is a file. Upload the full-resolution version from your phone, choose a paper from the list above (lustre is the safe first try), order one small print, and live with it for a day before going large.
H.4 Soft-proofing and output sharpening
Two finishing steps decide whether a print matches what you saw on screen: soft-proofing (predicting the color) and output sharpening (restoring the crispness that resizing and ink-spread soften). Both were met in Chapters 25 and 34; here is the working reference.
Soft-proofing
Soft-proofing is previewing, on your screen, how a file will actually look on a specific paper and printer — so you can correct for the difference before you commit ink. It exists because paper cannot reproduce every color or the deep black a glowing screen can (Chapter 34): the print's range (its gamut and dynamic range) is smaller, so some colors and shadow details must be mapped down to what the paper can do.

The shortcut most people actually use: a small test print is soft-proofing's low-tech equal. Print one at a modest size, look at it in the light it will hang in (not on the back of a camera), correct what the paper revealed, then commit to the large print. A test print never lies.
Output sharpening
Output sharpening is a final, destination-specific sharpening applied to the export copy — never to the master — to counter the softening introduced by resizing (for screen) or ink spreading into paper fibers (for print). It is the last step, done after sizing, and it differs by medium because the two media soften an image in different amounts.

Let the lab do it if unsure. Most labs offer to output-sharpen for you and do it well per paper. If you sharpen yourself, do it on a print-specific export, sized for the print, never on your master — and match the strength to the paper, not to a habit.
H.5 Aspect ratios per platform
An aspect ratio is the width-to-height proportion of your frame. Cameras shoot in fixed native ratios; screens and platforms favor their own. Upload a shape a platform doesn't want and it crops your composition for you — usually badly, guillotining heads and slicing off the foreground anchor you placed on purpose (Chapter 34). The defense is permanent and simple: crop to the destination's ratio yourself, in your editor, so you decide where the edges fall — never the algorithm.

The numbers move; the shapes don't. Exact pixel dimensions each platform prefers change constantly and are not worth memorizing — and this book will not invent specifics that are wrong by next year. The ratios are stable and the discipline is permanent: crop deliberately for where the image is going. When in doubt, shoot a little loose so a tall crop has room.
H.6 Ready-to-use export presets
Below are export recipes described as settings — build each once in your tool, save it, and reuse it. Every one starts from the master and produces a disposable copy. Phone-equivalent paths follow each.

Why archive unsharpened: output sharpening is destination-specific (§H.4). Bake it into the file you keep and you've committed to one medium forever. Keep the master clean and sharpen fresh for each export.
H.7 The pre-export checklist
Run this every time, in this order, before any image leaves your library:

A photograph isn't finished when you stop editing — it's finished when it reaches a viewer in the form you chose. Output is the last creative decision in the chain. Make it on purpose.
